How to market your show to Promoters

PAN is a membership-led organisation which supporting the promotion of touring arts in the Highlands and Islands of Scotland. There are around 100 members, including voluntary-run promoting groups, village halls, independent, professional and Council-led arts venues, and festivals.Collectively PAN members promote a wide range of events across all art-forms throughout the year.

2. Mail or email your information to the Administrator.

What Promoters Need to Know

1. DESCRIBE  your show in a few hundred words. Keep it short and simple.

2. SEND us a press release and some images. Include a link to your website/MySpace site/Facebook pages etc so we can pass this on to interested promoters who will have time to look at them.   

3. Give all the CONTACT details, including a phone number as well as an email address.

4. Give some idea of the COST and whether it includes travel and accommodation.

 5. Be focused with DATES - let us know the time of year you are available or planning to tour and any Scottish bookings you already have


 

Contacts and contracts

PAN:-

  • will supply you with information and advice about touring in the area.
  • will send your information out to its members, targeting those who are interested in your type of show and who promote during the period you are available
  • does not usually promote shows itself, nor make contractual arrangements with touring companies.
  • works closely with arts agencies and funders.

PAN Members:-

  • work to the highest professional level they are capable of, within the limitations of their venues.
  • make their own contractual, domestic and technical arrangements with touring companies.
  • raise their own funding and undertake their own marketing.

 Technical requirements

  • Most venues are suitable for ‘small-scale’ performance, providing up to 6 to 7 metres square performance areas, and audiences from 30 to 100 seats.
  • There are a growing number of venues suitable for mid-scale performances.
  • It is generally assumed that touring theatre companies tour with their own technical needs.
  • Some venues have  PA and lights, but do not assume that  PA is always available.
  • Remember to discuss this with the promoter early in negotiations.

Funding

  • The Scottish Arts Council funds some promoters and also offers advice and funding to touring companies. The Tune Up scheme supports music tours.
  • Local Councils and Enterprise boards may also fund promoters, but rarely touring companies.
  • PAN occasionally runs funded projects for its members.
  • Promoters work to a very tight budget, but usually aim to offer some sort of guarantee.
  • Contractual arrangements include full fees, guaranteed minimum fees, and gate-splits.
